Support Services Manager (SSM)

Job Description

We are seeking highly motivated and energetic individuals who enjoy a fast-paced environment to join our growing team. The Support Services Manager (SSM) will report to the President and the Vice President. The SSM is head of the Northstar’s Support Service Division, which includes: Human Resources, QHSE, Legal and Finance/Accounting (AP, AR, Cash Management, Payroll & Expenses). The SSM is supported by the Controller and HR administrator. In addition to ensuring these services are supplied to Northstar’s other divisions (Northstar Governance, Marketing, Sales, Operations, Engineering and Supply Chain), the SSM holds Division Managers to account by enforcing timely divisional reporting and internal / external audit schedule. We are seeking an organized and effective professional, who is uncompromising on quality, an exemplary communicator, with a focus on holding the organization’s leaders to account for what they promised to deliver.

Key Deliverables (Outputs):

  • Current and accurate Accountability Matrix and Scoreboard (1-page table of showing current staff vs role, roles vs division, Division vs deliverables, deliverables vs KPIs, KPIs vs Targets and Targets vs Scores (performance)
  • Weekly, Monthly, Quarterly and Year end meeting minutes with assigned actions (CUBE DMS Meetings) and follow up
  • Effectively implemented Quality & Safety management systems
  • HR: job postings, job offers, employment contracts, benefits program, employee growth plans, training profile
  • AP/AR/Cash Management/Payroll & Expenses: Accurate financial reports

Key Metrics:

  • QHSE: Inspections & Drills/Qtr., Overdue Quality & Safety Audits %, LTI, SQ & Safety Incident rate, LEAN Safety & Quality improvements/Qtr., Hazard assessments/Qtr.
  • HR: % Staff with Growth Plans, Average time to fill position, Revenue/Headcount, Overhead %, Training Gap
  • AP/AR/Cash Management/Payroll & Expenses: Current Ratio, Quick Ratio, DSO, DPO

Job Requirements:

  • Bachelor’s Degree or Diploma
  • 10+ Year Experience
  • Problem Solving and Strategic Thinking skills
  • Ability to work with minimal supervision
  • Teamwork Skills
  • Excellent Oral and Written Communication Skills
  • Proficient in Microsoft Office
